Carrier review and shipment evidence
Organize the information behind carrier selection, vehicle condition and a documented handoff.
Review the carrier identity
- 1Compare the carrier name and identifiers across the carrier record, assignment and supporting documents.
- 2Check that the equipment and service offered match the vehicle and lane.
- 3Resolve conflicting names, expired records or a paused external link before assignment.
- 4Document the reviewer and the reason for proceeding or escalating.
Check coverage and supporting records
- Review the named insured, relevant coverage details, effective dates and expiry dates.
- Confirm the document applies to the carrier being assigned.
- Treat an uploaded document as information to review, not an automatic approval.
- Keep replacement documents and the current review outcome connected to the carrier record.
Build a usable evidence trail
- Link condition photos to the correct VIN and movement.
- Capture pickup and delivery condition separately.
- Check the signature, contact and handoff details required by the workflow.
- Keep the signed eBOL and supporting files with the order.
- For damage or a disputed delivery, preserve the original evidence and document the observed discrepancy.
PIN-protected pickup
- 1Open the handoff request on the relevant shipment.
- 2Review driver and carrier context, pickup location, timing and any flagged checks.
- 3Follow the configured authorization process. A request alone is not permission to release the vehicle.
- 4Confirm the completed handoff and associated document access.
When to escalate
- Identity mismatch, missing records or contradictory document dates.
- A pickup request that does not match the assigned movement.
- Missing signature or condition evidence.
- A request to bypass the configured approval path.
- Give the reviewer the record reference, issue and supporting evidence without circulating access codes.
