Your first vehicle movement

Prepare your workspace, build a complete order, and check the handoff from dispatch to accounting.

Before you create the order

  • Confirm the organization and role shown in your workspace.
  • Collect the customer contact, vehicle details, complete pickup and delivery addresses, contact numbers, operating hours and transport requirements.
  • Separate the dates promised to the customer from the pickup and delivery windows agreed with the carrier.
  • Decide who owns dispatch, customer updates and accounting follow-through.

Build a complete vehicle record

  1. 1Search for the existing customer before creating another record.
  2. 2Add the VIN and review the decoded year, make and model. Record operability, keys and any special loading requirements.
  3. 3Enter both locations, receiving contacts and access instructions. A city alone is not enough for a driver.
  4. 4Review the customer price, carrier pay, currency and payment terms.
  5. 5Save a draft while details are incomplete. Review the saved order before posting or assigning.

Make the first carrier handoff

  1. 1Check the carrier identity, equipment, availability and documents against this movement.
  2. 2Confirm the rate and the pickup instructions with the assigned carrier.
  3. 3Distinguish a load-board listing from an accepted carrier commitment.
  4. 4Record the next expected milestone and who will follow up if it slips.

Close the operational loop

  • Confirm pickup and delivery milestones against the available evidence.
  • Check that the signed delivery documents and condition evidence are attached.
  • Give accounting the customer billing details and carrier payment terms.
  • Check customer payment and carrier payment separately.

If you get stuck

  • Missing workspace or menu: ask your administrator to check organization membership and role.
  • Cannot save: review the specific validation message and the vehicle, location and pricing fields.
  • Unexpected automation: review the enabled workflow, stage policy and integration settings before repeating the action.
  • Need support: include the order reference, action, time and exact error; omit passwords and private customer data.
